Important information about CAMP

In an effort to ensure that all of us are being as efficient as we can be AND in an effort to ensure that your new staff has everything they need on day 1 (or asap afterwards if we need them to do something first), please note:

  • Until a CAMP record has been entered (and approved by HR if this is a regular staff) and the computer account has been created, we can't do any work for this person.  Contacting us to ask specific questions especially if the situation is out of the ordinary is great, but calling to give us a heads-up is not necessary because we can't take any action.  We appreciate the thought, though.
  • Providing all relevant information in the CAMP record is the best way to ensure that the new staff person is well provisioned.
  • When we get a CAMP request, we prepare a ticket in the name of the new person, with the supervisor listed as a participant.  When you receive a notice from the system saying that the ticket exists, please 'reply' there if you have any additional information to add.  Emailing or phoning results in duplicate tickets UNLESS you specifically say that there is already a ticket/voicemail/email about this, which prompts us to search through tickets, voicemails and emails to find the connected pieces, thereby preventing duplicate tickets.
  • It is best if there is only one person contacting us related to the needs of your new staff member
    • when multiple people from your unit contacts us about the same person, we often have duplicate requests.  It isn't always evident that they're duplicate so a lot of time is spent by Person A troubleshooting a problem that doesn't exist (because Person B team fixed it this morning).  
    • if you make a request through CAMP and then put in a ticket online or send us email or leave a voice mail, you've essentially made 4 requests.  We don't know about all 4 of them and time is wasted troubleshooting issues (as above) and/or entering multiple tickets only to discover they are duplicate etc. 
 New Staff and Faculty

When you're on boarding a staff or faculty who has not worked at RRU in the past, you'll need to create a record in CAMP in order to obtain a computer account, access to mailboxes and folders, access to corporate systems etc..

 Returning Staff and Faculty

If a person has worked at RRU in the past, they will already have a CAMP record (and an ID in payroll etc. etc.).  Please reactivate their inactive CAMP record.  This will trigger the recreation of their computer account (but not much else).

 Person moving for one department to another

It will be important for you to ensure that the Primary Group, supervisor and account termination date information is updated.  Nothing magic happens so  providing as much information as you can will reduce delays and help us greatly.

What is changed and what isn't

When a CAMP account is created, the following information is used to create an account

  • Account type (used for the Computer Account)
  • Primary Group (Used to decide which default O: drive location is provided)
  • Camp Supervisor (who will get the CAMP updates and warning of account expiration - Not to be confused with the actual supervisor, although it could be the same person.  The actual Supervisor field in Outlook is populated by the Payroll department)
  • Preferred Name (used for Computer Account and Email address in Outlook)
  • Last Name (used for Computer Account and Email address in Outlook)
  • Job Title (displayed in Outlook)
  • Office Location (displayed in Outlook)
  • Work Phone (displayed in Outlook)
  • Mobile Phone (displayed in Outlook)
  • Personal Email address (used to create ZZ-email address in Outlook.  This email address is required if they want to reset their own password one day)
  • Group Memberships (displayed in Outlook, and used for which section the name will be displayed in the Phone List)
  • Account Expiry/Termination Date (this is used to decide when the account is terminated)

When a CAMP account is created, the following information is used to provide additional resources ONLY if "Notify arrivals and departures" is selected

  • Phone and Computer information (Used to determine whether a new computer needs to be supplied, or whether they will be using an existing computer or none at all)
  • Corporate Applications (what software, accounts or applications is required by this person)
  • Comments (additional info for Computer Services)

When a CAMP account is updated, the following information is the ONLY information that is updated automatically

  • Camp Supervisor (who will get the CAMP updates and warning of account expiration - Not to be confused with the actual supervisor, although it could be the same person.  The actual Supervisor field in Outlook is populated by the Payroll department)
  • Office Location (displayed in Outlook)
  • Job Title (displayed in Outlook)

ANY OTHER changes must be sent to Computer Services via email by "Notify Arrivals and Departures" or by forwarding the confirmation email the account supervisor or employee receives.  Otherwise Computer Services will not be aware, and not make the changes.  It should also be noted that new items in the "Corporate Application and Training" section are not identified as such, so a special comment to Computer Services is appreciated.

Information for non-Administrators

Please note that you cannot change your first name, last name, preferred name, RRU ID or Supplier ID.  You must use the legal name change procedure if there is a need to affect any of these items.  

Information For Administrators

Some of the processes used to manage staff and core faculty are slightly different than those used to manage associate faculty, temps and contractors.  For this reason, they are listed separately below.
